Surfside Board Meeting Minutes

January 11, 2022

Present:    Elisa Nye, Sandra Ota, Kayo Libiano, Paula Skorin, Eileen Brown, Case Spencer

Absent:     John York

  1. The Board approved the December 2, 2021, Meeting Minutes.
  1. Holiday party recap:
  1. Voted on board members for 2022.
  2. Gave coaches their 2021 bonuses.
  1. Omicron surge and swim practice:
  1. An email will be sent out to members with updated information regarding Surfside’s Covid protocols and expectations.
  2. Mask wearing on deck and to/from the pool is mandatory and will be strictly enforced.
  3. Parents need to notify Membership if a swimmer was at practice and then tested positive for Covid 1-5 days after.
  4. Coaches are going to track who attended practices and what lanes they swam in so that we can notify anyone who was in close contact to someone who tested positive.
  1. New team gear:
  1. Kayo has been working with The Swim Guy. We are going to start with short and long-sleeved t-shirts as well as sweatshirts.
  2. Kayo is going to see if we can have team members purchase directly from The Swim Guy for most of the pre-orders, rather than the board taking on storage and distribution of items.
  1. Coaching:
  1. Contracts for 2022 have all been signed. The contracts contain a certification clause which states that USA Swimming certifications must be current, or they will be penalized financially.
  2. Coaches will be responsible for paying their substitute coaches when they cannot attend.
  3. It has been decided to have only 3 “C” practices per week. The quarterly dues will be reduced.
  1. Banking/Financials:
  1. The board approved the 2022 budget.
  2. Still need to add Kayo onto Surfside’s Wells Fargo account. Elisa and Kayo will get this done.
  3. Sandra gave an update on the September 2021 financial statement.
  4. Elisa is looking into various board insurance policies and will provide an update next month.
  1. Swim meet status:
  1. John has spoken with Cathy (SOBA) about getting a meet on the calendar for February or March. Vaccinations will be required of all participants. No parents will be allowed to attend the meet unless they are volunteers.
  2. Elisa is going to check with John regarding any swim meet costs for our annual budget.
  1. Board member update:
  1. Paula and Elisa met with Drew to learn how to use the swim meet software.
  2. Kayo and Eileen plan to have another round of tryouts in February. Then another date will be set for March. We are hoping to add 25 members to our team.
  3. Kayo will design a marketing flyer to give staff at the Redondo pool for when they get inquiries regarding joining a swim team.
  4. Kayo will make sure that all new members have signed Covid waiver paperwork for both pools.
