Surfside Board Meeting Minutes

February 10, 2022

Present:    Elisa Nye, Sandra Ota, Kayo Libiano, Paula Skorin, Eileen Brown, John York

 

  1. The Board approved the January 11, 2022 Meeting Minutes.
  1. Omicron is on a downward trend.
    1. Covid is declining, so we are going to stop taking attendance by lane number for contact tracing. However, the coaches will be taking attendance at practices starting next week so that we can keep track of who comes to workouts.
    2. John and the board members are going to take photos of swimmers starting next week. This will help the coaches recognize swimmers when they come to workouts.
  1. Coaching:
    1. Beginning this month, we plan to follow through with the $100 penalty for any coach that has not completed the required certifications.
    2. Timeline for Water Safety & CPR – beginning of March.
    3. Onboarding document for new coaches – Elisa and John will continue to work on it.
  1. JG Prep class:
    1. Will be run by Mary. Looking to have 10 kids, twice a week for about 6 weeks. The classes will be on Tuesday and Thursdays from 7-8pm at Redondo Union. Looking to start the session the week of February 21st.
    2. The cost is $300 (and will include a temporary USA Swimming membership).
    3. Kayo is going to reach out to people on the team’s waiting list. As an incentive, if they sign up for the JG class, they can move up to top of swim team waiting list. We will also post on social media accounts. Kayo will create a flyer that can be put up at local schools.
  1. Swim meet status:
    1. Current target for our first meet is Friday, March 18 at the City of Hawthorne’s pool with just the SOBA team.
    2. Depending on Covid, parents may not be allowed in the pool area. We will know more as the time gets closer.
    3. Volunteers - We will need a timer for each lane (and people to help with staging, especially if parents are not allowed on deck).
  1. Team gear
    1. Short sleeve and long sleeve t-shirts as well as sweatshirts have been ordered through the Swim Guy. We will be using the Swim Guy’s ecommerce system for our members to purchase directly. The members will have to drive to the Swim Guy to pick up the items they order.
    2. We are getting polo shirts, sweatshirts, and jackets for the coaches.

 

7. Banking/Financials

  1. Still need to add Kayo onto Surfside’s Wells Fargo account.
  2. John still needs to give Elisa cost estimates for swim meets so that they can be included in the annual budget.
  3. Sandra updated the google worksheet with the most recent bank reconciliation.
  4. Elisa will work on getting insurance for the board members.
  5. Redondo Union is asking to be sent our USA Swimming insurance certificate for 2022. Elisa will follow up.

8. Board Member update:

  1. Paula is continuing to train as the meet coordinator.
    1. A team laptop was purchased for Paula’s use and an agreement was signed (in Google drive).
    2. Paula is continuing to work with Drew on training to use the system. Paula is creating a flow chart with steps for future board members to use.
  2. Membership status
    1. Next round of tryouts – Friday, March 11th and Friday, March 25th. Kayo will contact the people on the waiting list.
    2. Kayo is going to create a small flyer/business card that can be given out to prospective members.
    3. Kayo will confirm that all new members have signed Covid waiver paperwork for both MCHS & RUHS. Going forward, these forms will be included in the packet at tryouts.
