Surfside Board Meeting Minutes

April 14, 2022

Present:    Elisa Nye, Sandra Ota, Paula Skorin, Eileen Brown, John York

Not Present:    Kayo Libiano

  1. The Board approved the March 10, 2022 Meeting Minutes.
  1. Coaching:
  1. All coaches are up-to-date on their water safety & CPR certification.
  2. Lelei’s contract is for her to coach Tuesdays and Thursdays at Redondo. However, she has been getting substitutes for Tuesday nights. John is going to talk with her about her schedule.
  3. We would like to get another coach on board by June 1st. Our waiting list is now mostly young kids. We need another C coach.
  4. Coaches are not taking attendance at workouts. John will talk with them.
  5. Swimmer behavior agreement:
  1. All swimmers and parents will be expected to sign a code of conduct agreement.
  2. Elisa created a swimmer action form for coaches to fill out when a swimmer is not behaving. It must be signed by the parent and will be kept on file with membership. One has already been used at the Redondo workouts.
  1. Upcoming swim meet
  1. April 22nd at SOBA.
  2. Currently, we have 10 swimmers signed up.
  3. Three parents have signed up to volunteer so far. We need four more timers.
  4. Paula is going to send reminder emails (tonight, tomorrow, and again on Saturday) in hopes of getting more swimmers and volunteers.
  1. JG prep class:
  1. Elisa will confirm with Kayo that there were nine participants. Sandra will send a check to Mary.
  2. Survey for participants – Eileen will follow-up with Kayo to see if a survey was sent out.
  3. Lessons learned and planning for 2023 program – Elisa, John, Mary, Kayo and Eileen will meet to discuss.
  1. Team gear:
  1. All coaches have received personalized team parkas, short sleeve shirts and sweatshirts.
  2. Surfside short sleeve shirts, long sleeve shirts, sweatshirts & trucker hats are in stock at the Swim Guy. There have been supply chain issues with getting PJ pants and a couple of other items.
  1. RUHS facility update:
  1. If more lanes are needed for other teams or for our team, coaches need to contact Elisa and she will speak with Tyler about the need. Extra lanes cost Surfside more money. We have a budget to maintain, so Elisa needs to be our point person when issues arise.
  2. We have requested a change in the parking situation. The lot we have been using is extremely crowded and dangerous for our swimmers to walk through. Elisa has asked Tyler if we can go back to using the large lot off Diamond Street (as we did pre-Covid). Tyler said he would talk with the appropriate supervisors. Elisa has not heard back yet.
  1. Banking/Financials:
  1. Elisa and Sandra have identified a potential new treasurer. They are in discussions.
  2. Kayo still needs to be added onto Surfside’s account.
  3. John is going give Elisa actual amounts for swim meet costs for our annual budget.
  4. Sandra has submitted the 2021 taxes to the CPA. She does not know if they have filed them yet.
  5. We are still having a problem with our 2017 taxes. Our CPA wrote the IRS a letter in September. The IRS is reviewing.
  6. The accountant has sent us an invoice but they never sent the work product. Sandra is going to follow-up.
  1. Membership update:
    1. Membership continues to be lower than pre-Covid. We are currently at capacity for our C group. We are hoping to get earlier workout times once high school swim team season ends. If that happens and we can get another C coach, then we would like to add more younger kids.
    2. At our last meeting, having another tryout in May for older kids was discussed. Eileen will follow-up with Kayo.
    3. We still have the option for Sunday morning workouts at Redondo. Currently, we do not have a coach who is available to work Sunday mornings. Perhaps when we find a new coach, they will be able to take that on.
    4. We would like to have a kick-off summer beach party the first night of beach workouts. It would be a good opportunity for swimmers and parents to socialize.
  1. Additional board member:
    1. It would be good to get a new board member who can take on the job of weekly communications, website updates and support for Paula doing awards after swim meets.
