Surfside Board Meeting Minutes

June 9, 2022

Present:            Elisa Nye, Sandra Ota, Rich Fernandez, Paula Skorin, Margo Trone, Kayo Libiano, Eileen Brown,

  1. The Board approved the May 12, 2022 Meeting Minutes.
  1. Welcome new Board Members:
  1. Rich Fernandez – Treasurer
  1. Margo Trone – Communications and Co-Meet Coordinator
  1. Coaching:
  1. The coaches are looking at reorganizing the B/C groups in hopes of making room for more C swimmers to join Surfside. Beginning June 21st, Surfside will have an additional lane at the Redondo pool on Tuesdays and Thursdays. This will bring the total number of lanes to seven for our use.
  1. Lelei’s contract will be adjusted since it looks like she will only be available to work one day per week for the foreseeable future. A contract will be created for Robert working one day a week as well. We need to confirm that Robert is up to date on all certifications.
  1. Elisa is working on a job description for an Assistant Head Coach. We currently have one candidate recommendation. We are looking for additional contenders as well.
  1. Margo is looking into the message we received from Team Unify stating that we need to upgrade our site and what it involves. We also are having an issue with the coaches not being able to take attendance on Team Unify and want to fix that.
  1. Swim Meets:
  1. The Board decided to have an inter-squad swim meet next Wednesday, June 15th. It will be pentathlon-style where everyone will swim a 50-yard race of each of the four strokes (25 yards for the younger swimmers) and swimmers 10 years and older will also swim a 100 IM race.
  1. There will be a swim meet at the Manhattan Country Club (Bay Club) in the evening on Wednesday, July 27th.
  1. John and Cathy (SOBA) are organizing a regional meet at the new Torrance Aquatic Center on Saturday, August 13th. Warm-ups will begin at 8am, the meet will begin at 9am and will go until mid-afternoon. Many teams have been invited. The Swim Guy will have a booth. We need to find a caterer to operate the snack bar. This will be our “Summer Champs.”
  1. Paula and Margo will meet with Drew to learn the meet coordinator duties involved when Surfside hosts swim meets.
  1. The Board still needs to schedule a “lessons learned and planning” for the 2023 JG Prep Class.
  1. Kayo informed the Board that The Swim Guy now has Surfside PJ pants in stock. In addition, Surfside t-shirts and sweatshirts are in stock. Kayo is going to get Surfside trucker hats for the coaches.
  1. Banking/Financials:
  1. John told Elisa that there are no additional costs for swim meets (to be included in the annual budget).
  1. Sandra provided a budget & tax update.
  1. Sandra has met with Rich to explain the Treasurer’s duties. Rich, Sandra, and Elisa are going to meet at Wells Fargo on June 18th to add Rich (and remove Sandra) to the Surfside bank account. Sandra will be available through the end of July to help Rich if needed.
  1. Rich will get quotes for insurance for the Board for our next meeting.
  1. Membership Status:
  1. The Board decided to have a summer beach party on Monday, July 11th to kick off our ocean swim practice season. (John needs to confirm with other coaches that they will be able to help with ocean swims.) Eileen will take the lead on organizing the party. We will provide pizza and bottle waters. We will do a sign-up genius for members to sign up for desserts or salads.
  1. Kayo will distribute the new marketing flyer to the Redondo pool office. They will pass out the flyers when parents inquire about joining a swim team. (They get inquiries during their weekend open swim times and most likely during their summer swimming lesson program.)

  3. Until we have more room for “C” swimmers, we will not be scheduling a tryout. We have 107 kids under 11 years old on our waiting list. Currently, we do have room for older kids and we will conduct individual tryouts on an as needed basis for now.
  1. There is still the option to have an additional workout for C swimmers on Sundays at Redondo. We will conduct a survey to see if swimmers are interested before we consider moving forward with this. (A new coach may be willing to work Sundays.)
