Surfside Board Meeting Minutes

September 15, 2022

Present:    Elisa Nye, Rich Fernandez, Paula Skorin, Margo Trone, Kayo Libiano, Eileen Brown, John York

 

  • The Board approved the August 11, 2022 Meeting Minutes.
  • Membership Status:
    • On September 9th, 20 swimmers tried out and all of them made the team.
  • The majority were placed in the B and C groups.
  • New B swimmers can only swim at Mira Costa for now. There is not room at Redondo Union for more B swimmers currently.
  • We are adding a C+ group at Redondo on Tuesdays and Thursdays 7-8pm. These are older kids who are not quite solid B swimmers yet. They can also swim Fridays at Mira Costa.
  • On September 23rd, 27 kids are scheduled to tryout
  • Workout Changes:
  • The Board is surveying members to see if there would be any interest in adding a Sunday workout. Results will be shared at the next Board Meeting.
  • John is going to talk with the City of Manhattan Beach to see if Surfside can use some of the lanes the Dolphins are not using during their pool time at Mira Costa on Mondays and Wednesdays 6:45-7:45pm.
  • Coaching:
  • The document regarding the Board vs. Head Coach responsibilities has been finalized.
  • The Assistant Head Coach job description has been finalized.
  • The process for interviewing Assistant Head Coach candidates will be to first ask the current coaches if they are interested. After all current coaches are aware of the opportunity, then we will look externally for candidates. We are looking for someone to take on Sunday practices and substitute on the other days for now.
  • Swim Meets:
  • John is working with SOBA and the Bay Club to see if we can schedule a few meets in the coming months. (The Dolphins are not participating in meets currently.)
  • Elisa is going to check with Tyler regarding the possibility of Surfside hosting a meet at Redondo on a Saturday or Sunday for approximately 2.5 hours.
  • Paula and Margo will meet with Drew to learn the meet coordinator duties that are involved when Surfside hosts swim meets at our pool. (No home meets are scheduled at this time.)
  • Website:
  • USA Swimming has changed its procedure for signing up members. In the past, Surfside has collected yearly dues from the swimmers and has signed them up. Going forward, each swimmer will have to register and pay USA Swimming directly every year. Current Surfside swimmers are still covered until the end of 2022.
  • Margo will update the Board at the next meeting regarding the Team Unify upgrade status and if the coaches are now able to take attendance on it.
  • Elisa will talk with Margo about creating Facebook, Instagram & Shutterfly accounts.
  • Team Gear:
  • The Board will distribute the old Surfside gear that Case passed on.
  • Elisa will talk with Margo about creating a “buy-nothing” type exchange for team gear (ex: team suits, parkas, fins, etc.)
  • Holiday Party:
  • Next month, the Board will begin planning this year’s Surfside holiday party.
  • Banking/Financials:
  • Rich is working with the CPAs on finalizing our taxes which are due October 17.
  • Rich has researched purchasing Board insurance. It will cover the roles on the Board, not specific people. It will cost approximately $3,000 a year. Rich will choose a company and the Board will vote to purchase in the coming weeks.
  • Rich provided a review of the SCAA insurance coverage for Surfside. We have good coverage that includes ocean swimming practices. However, any parents or other non-club members who join in the ocean swims are not covered and will need to sign a waiver prior to swimming with the team.
  • Rich is going to order another team canopy for meets.
  • The Board is going to consider a scholarship program for high school seniors as well as a ceremony for when swimmers move up to the next group level.
  • JG Prep Class update: The Board still needs to schedule lessons learned and planning for the 2023 program.
