Surfside Board Meeting Minutes

April 20, 2023

Present:             Elisa Nye, Rich Fernandez, Kayo Libiano, Margo Trone, Eileen Brown, John York

 

  1. The Board approved the March 9, 2023 Meeting Minutes.
  1. All Board members need to register for USA Swimming (as non-athletes) and complete basic coursework as soon as possible (if they haven’t already done so).
  1. Coaching
  1. All coaches are “in good standing” with their training requirements except for John, Lelei and Melissa. John will follow up.
  2. John will purchase starting equipment for future meets.
  3. John updated the Board on searching for additional coaching staff. He has been in contact with potential replacements for the two coaches who will be leaving this summer.
  4. Starting in May, Sunday workouts will be 10:30-11:30am.
  1. Swim Meets
  1. John reported that Surfside is joining a new summer league. There are three swim meets scheduled, with a possible fourth. July 16 will be at Mira Costa, August 5 in Carson, and August 12 in the San Fernando Valley. There is a potential swim meet July 9 or 30. The coaches are also looking into doing a USA Swimming meet one Saturday a month as well as dual meets with the Manhattan Beach Country Club and Manhattan Beach Dolphins.
  1. JG Prep Class
  1. We had about a dozen kids participate in this year’s program. Everyone was very happy and really thought Robert did a great job coaching. Next year, we will advertise earlier and create a separate contract for whichever coach does the work, so there is no confusion.
  1. Membership
  1. We are continuing to work on the issues with the Team Unify website connection to the USA Swimming website.
  2. The next tryouts will be on April 21 and May 5. There have also been some one-off tryouts throughout the past month.
  3. Elisa is composing a Google form that will be sent out to the Surfside families asking them to please let us know if their child has any special needs/requirements that our coaches should be aware of. Surfside is an inclusive club and we want to know how best to work with each swimmer.
  1. Rich will contact RUHS Ed Services to see if they have any language they use for their forms that may work for us.
  1. Website
  1. Social media:
  1. Margo is updating the team’s new Facebook page (Surfside SwimTeam – one word). We need to decide if it should be a group site (so we can use it for a social tool) or an individual site (used for marketing purposes).
  2. Margo is setting up a “buy-nothing” type exchange for the team (e.g., team suits, parkas, fins, etc.).
  1. Margo will talk with Mary about getting/posting updated photos on the team’s website.
  2. We need to inform parents how to upload photos of their kids on their family’s profile on Team Unify. We are considering launching an internal marketing campaign with some sort of incentive to get families to participate.
  1. Banking/Financial – Rich
  1. All taxes are completed.
  2. Surfside has three accounts at Wells Fargo: 1) General operating account, 2) Savings account at 3.5% interest, and 3) Scholarship fund.
  3. Rich provided the Board with a 2023 budget update.
  1. Cindy Tournat Memorial Scholarship Fund
  1. No applications have been submitted to date. However, John has spoken with a few swimmers who said they are planning to apply.
