Surfside Board Meeting Minutes
August 10, 2023

- The Board approved the July 21, 2023 Meeting Minutes.
- Survey Results
- Elisa shared the results with the team via email.
- John will share the results with the coaches.
- We are going to do the survey annually and share the results at the summer beach party.
- Swimming Pool Updates
- RUHS pool is closed due to flooding in the pump room. The team will do beach workouts in the evenings affected.
- MCHS pool management is changing. MBX Foundation is taking over from the City of Manhattan Beach. We do not know if this will impact Surfside.
- Coaching
- We have three new coaches beginning soon.
- One of the new coaches will be focusing on the Sunday stroke clinics. The B & C groups will practice from 10:30-11:00am. The A & Senior groups will practice from 11:00-11:30am. Space will be limited. Members will need to sign up in advance.
- Elisa will work with John to get contracts for the new coaches.
- The last beach workout will be on August 21st.
- John will speak with the coaches that are out of compliance with their certifications. He will express the need for the coaches to stay current and remind them that their pay will be docked for being out of compliance.
- John purchased starting equipment for future home meets. Elisa has purchased the case, which should arrive in the next few days.
- Swim Meets
- It was very hard for the swim meet coordinator to recently have three meets in one week (especially two meets in one weekend). It has been a challenge to get advanced notice of meets. The board would like to be presented with a schedule of upcoming meets, so that we can decide which meets to participate in and plan accordingly.
- We are having a hard time getting parents to volunteer at the meets. It is always the same couple of families. The board discussed going back to the days when each member family was charged a volunteer participation fee at the beginning of the year, and they had the opportunity to work off the fee throughout the year by volunteering. In addition to timing at meets, we have other volunteer opportunities we can offer during the year. The board decided to try a $50 fee and see if this approach will provide more volunteers.
- Kayo found lots of Surfside tattoos leftover from years ago. She is going to show them to John to see if these would work or if we need to order new ones.
- Membership
- USA Swimming now offers a choice of members registering individually or the team registering everyone at the same time. The board chose to do the team registration option.
- Kayo and Rich will analyze the minimum/maximum number of swimmers needed and whether we need to increase our rates. Kayo will look at what other teams are charging.
- Rich shared a disability questionnaire that he found on a recent job posting. The board will see if this would work for us to use when collecting special needs/support information from new swimmers.
- The board thought it would be fun to change things up a bit for this year’s holiday party. We are looking into the possibility of renting the firepit area at Valley Park in Hermosa for a Friday evening (instead of a workout). We would get a taco truck, roast s’mores, play team building activities, give out yearly awards and have our annual parent meeting. Eileen is going to see if Valley Park is available the first two Fridays in December.
- Website
- Board members were asked to provide Margo with any recent photos from swim meets or practices.
- It was decided that we are going to stay with Team Unify for our software needs and not look at other companies.
- Banking/Financial
- Rich has taken a work assignment in Madrid from September through June. Rich thinks he can still do the treasurer’s duties while there.
- Rich reviewed the August budget update for the board.
- The board approved Coach Mary’s request to purchase a set of 10 hand paddles to have at workouts for her swimmers. Surfside has an account at the Swim Guy and Mary can get them there.
- The board approved purchasing chairs for the coaches with the Surfside logo. Elisa and Kayo will order these.
- Memorial Scholarship Fund
- The website information will be updated so that we can start getting applicants for the 2024 awards.
- Elisa will confirm with John that this year’s award recipients have all received their checks.
