Surfside Board Meeting Minutes

October 19, 2023

Absent:            Rich Fernandez

 

  1. The Board approved the September 7, 2023 Meeting Minutes.
  1. Mira Costa High School pool situation
  1. The MBX Foundation has not made any progress in hiring a pool manager or lifeguards. It does not look like this will change anytime soon. Until they have these positions filled, the contracts that they are having teams sign to use the Costa pool have a clause that MBX is held harmless should any accidents occur. If Surfside signs that contract, we will be out of compliance with our insurance.
  2. We are in touch with a member of the Manhattan School Board to see if we can get any assistance from them to move the process along. It was discussed that maybe Surfside should go to the November School Board Meeting and speak during the public comment section.
  3. Until we can get back into the Mira Costa pool, we cannot increase our membership for the younger kids.
  4. John is looking at alternate pool locations to see what is available.
  1. Coaching
  1. Nikki’s contract has been signed. Elisa will follow up with Rich to confirm that Nikki’s W9 has been received so that she is ready for payment. John will check with Nikki regarding her status on training qualifications. Nikki also needs to be added as Surfside staff for USA Swimming.
  2. Sean & Melissa will be removed as staff on our USA swim roster in the new year.
  3. Lelei & Robert are still out of compliance with their training qualifications. John will follow up with them. Elisa will confirm with Rich that he is deducting the penalty from their paychecks.
  4. Sunday practices are well attended. Nikki has been working on strokes with the younger swimmers. John has found that the older swimmers prefer to have a regular workout (instead of doing stroke work) since we do not have workouts on Mondays for the time being.
  5. John liked the new chairs for the coaches, so Elisa will place an order.
  1. Swim meets – John is looking into:
  1. Finding a new swim team league to join.
  2. Asking the Bay Club about a possible dual meet soon.
  3. Talking with the Dolphins about a potential swim meet at the Mira Costa pool.
  4. Hosting a meet at the Redondo pool.
  5. Potential USS swim meets.
  1. Membership
  1. With the increase in pool rates, Surfside will most likely need to raise dues at the beginning of 2024. Currently, Surfside has 117 members. Rich and Kayo will finish analyzing trends from past years to see when swimmers tend to join/quit and figure out how much we will need to increase the dues. Most likely it will be $25-$50 per swimmer per quarter.
  2. We currently have 79 kids on our waiting list. The issue is the late swim times and therefore the Board discussed having tryouts for older kids (only) on Sunday, November 5th and Tuesday, November 7th. John will talk with the other coaches about the potential tryout dates.
  3. We will check with the Redondo pool to see if we can have any pool time on Saturdays, that would allow our younger swimmers some earlier hours.
  4. We already have five kids on the list for the 2024 JG prep class. We are looking to start the program early this time, hopefully in mid-January.
  5. Elisa & Kayo will create a form for gathering special needs information from new swimmers.
  6. Holiday Party
  1. John is going to talk with Jesus (City of Manhattan Beach) if we can have our holiday party at Begg Pool in the late afternoon/evening on either December 1 or 8th (both are Fridays).
  2. Kayo is going to look into getting team stickers, magnets, pens, etc.
  3. Eileen will arrange catering (including team logo cookies from Beckers) as soon as we know the date and time.
  4. John and the other coaches will decide what games to play, if we do awards, etc.
  5. Elisa will oversee the annual parent meeting. During which, Elisa will emphasize the need for parent volunteers at swim meets.
  1. Banking/Financial
  1. Rich has taken a work assignment in Madrid from September through June. However, he did provide an email update to the Board on the current budget and how we did in September.
