Surfside Board Meeting Minutes

December 12, 2024

Present:           Elisa Nye, Rich Fernandez, Kayo Libiano, Jered Lindsay, Ramya Sivasubramanian, Eileen Brown, John York

 

  1. Board Members
  1. The board approved the meeting minutes of October 17, 2024 and November 15, 2024.
  2. The board discussed bringing on a new member to help with marketing & communications. One member has shown interest. Elisa will follow up with her.
  3. Some board members need to renew certifications through USA Swimming.
  1. Pool Situation
  1. The RUHS pool will be closed for the school holiday break December 23 – January 3. John mentioned that Begg pool also may be closed for maintenance at that time. John will follow up.
  1. Coaching
  1. Updates on staff
  • John does not have any new coaching candidates.
  • John will follow up with the coaches who are not in compliance with their certifications.
  1. The overcrowding of the C/C+ groups on Tuesday had been an issue. Now that Nikki is helping Mary on Tuesdays as well as the expanded workout times on Wednesday, the issue has been resolved.
  2. We will not have a JG prep program this year because of pool availability being so limited. We will remove mention of the JG program from our website for now.
  1. Swim Meets
  1. SCSL Champs meet is coming up January 25-26, 2025.
  • The deadline for signups is January 13.
  • Kayo is getting special “Champs” caps (white with blue logo/writing). She will get enough for both winter and summer Champs.
  1. John will reach out to other teams in early January to see about getting a dual meet on the calendar.
  2. We hope to have another intramural meet in the first quarter of 2025.
  1. Membership
  1. Kayo will follow up with USA Swimming to confirm that all team members have their memberships renewed for 2025.
  2. Kayo has been cleaning up the Surfside membership account and has reached out to members to settle overdue invoices. There are only four families with outstanding accounts. Kayo will email the names of the swimmers to all the coaches to see if these swimmers have been coming to workouts.
  3. The next tryout will be in late March when the weather is a little warmer. However, if someone is coming from a different team and is used to swimming in the cold, we can have them tryout on a Sunday as needed.
  4. Rich and Kayo continue to work on membership analysis. They will have a recommendation in March regarding membership rate increases.
  5. We will have hot coco for the swimmers after practice on Thursday, December 19 and candy canes on Sunday, December 22.
  1. Financials
  1. Rich will start the budgeting process after the holidays and will have a 2025 budget for the board to review at the January meeting.
  2. Rich will renew the liability insurance for the board members in January.
