Surfside Board Meeting Minutes

March 20, 2025

Present: Elisa Nye, Rich Fernandez, Kayo Libiano, Yvonne Abt, Ramya Sivasubramanian/Jered Lindsay, Eileen Brown, John York

The board approved the meeting minutes of February 14, 2025.
Kayo is looking into why Ramya has been left off USA Swimming and will get her added.

Currently, the B group is overcrowded. John will talk with Lelei, Mary and Robert to come up with a plan to move the kids around so that one group won’t be so crowded.
Elisa and John are going to speak with Romy about renting a lane on the weekends when the pool is less crowded (1-2pm) for our coaches to teach private lessons in an effort of getting them ready to join Surfside. The swimmers will have to sign up with USA Swimming for insurance reasons.

Elisa, Kayo and Nikki followed up with the family who had brought the recent behavioral issues to our attention. Nikki shared with them what steps we have taken to rectify the situation.
John is going to follow up with Nikki to prepare a new formal behavioral policy and process plan that we can share with the team going forward.
John will follow up with the coaches regarding any certifications that need to be renewed, including CPR and in the water safety training.
We have received some requests from parents and older swimmers to add dry-land workouts. John is going to discuss it with the other coaches.

Kayo will look into the possibility of getting Surfside baseball hats, towels or something else to give to the swimmers who participate in the upcoming Champs meet.

Kayo has been cleaning up the Surfside membership account and there is now only one outstanding billing issue to resolve. Kayo will try to resolve this before our next board meeting.
It was determined that Surfside will increase its membership dues by $25 per quarter beginning in September 2025. This is less than a 10% increase, but it is necessary to cover the increased pool rental costs, the increase in meet fees to participate in our new swim league, as well as additional costs incurred from our new payroll system requirements. We will communicate the upcoming increase to the parents at the annual summer beach party as well as in weekly emails.
John will renew the Surfside website for another five years.

Marketing
1. Yvonne sent a link for the board members to complete a membership/marketing survey by the end of March. We will discuss the next steps at the April board meeting.
