Surfside Board Meeting Minutes

April 10, 2025

  1. Board Members
  1. The board approved the meeting minutes of March 20, 2025.
  2. Kayo is still looking into why Ramya was left off USA Swimming and will hopefully get her added soon.
  1. Pool Situation
  1. No practice the next two Sundays – Special Olympics and then Easter. There will be an extra practice this coming Saturday for the B, A, and Senior Groups. The following Saturday, we have a swim meet.
  2. Although the B group has 77 swimmers versus approximately 20 in the other groups, overcrowding has not been an issue. Most swimmers do not show up to every practice.
  3. Mary has room to bring on more C swimmers.
  1. Coaching
  1. John will follow up with Nikki to prepare a new formal behavioral policy and process plan that we can share with the team going forward. We will include the written policy in the onboarding packet for new swimmers, email it to current members and put it on our website.
  2. John will follow up with the coaches regarding any certifications that need to be renewed, including CPR and in the water safety training. It was also decided that a letter will be sent from the board to each coach regarding the need to get these certifications up to date as soon as possible.
  3. We have received some requests from parents and older swimmers to add dry-land workouts. John will follow up with the parent who showed interest in leading some dry-land workouts.
  1. Swim Meets
  1. The remaining SCSL spring season meets:
  • April 19, 2025
  • May 17, 2025
  • Champs – June 21-22, 2025
  1. 28 Surfside swimmers are signed up for the April 19th meet. Jared & Ramya have a meet marshal confirmed and they are still working on getting enough volunteers to time. John, Lelei and possibly Beth will be onsite to coach.
  2. Kayo will order 50 bright pink caps with the Surfside logo and “Champs” printed in white for the swimmers to wear at Champs in June.
  1. Membership
  1. Kayo has cleaned up the Surfside membership account and there are now no outstanding billing issues to resolve.
  2. Kayo will schedule tryouts for C swimmers before the end of April.
  3. It was determined that Surfside will increase its membership dues by $25 per quarter beginning in July 2025. This is less than a 10% increase, but it is necessary to cover the increased pool rental costs, the increase in meet fees to participate in our new swim league, as well as additional costs incurred from our new payroll system requirements. The board will send an email this spring to let all Surfside members know about the increase.
  1. Marketing
    1. Yvonne reviewed the feedback she received from the board members regarding the membership/marketing survey she had sent out. John asked Yvonne to send it to the coaches for their feedback as well.
    2. Yvonne will work with Rich to determine how much money is needed and available for marketing needs.
    3. Yvonne will be taking over the weekly emails, team website and social networking accounts.
  1. Financials
  1. Rich will provide the board with a financial update on March expenses and income soon.
