Surfside Board Meeting Minutes

May 16, 2025

Present:           Elisa Nye, Rich Fernandez, Yvonne Abt, Jered Lindsay/Ramya Sivasubramanian, Eileen Brown

  1. Board Members
  1. The board approved the meeting minutes of April 10, 2025.
  2. Kayo is still looking into why Ramya was left off USA Swimming and will hopefully get her added soon.
  1. Pool Situation
  1. No practice this Sunday because of International Water Safety Day at RUHS. Surfside will have an information booth at the event. A few older Surfside swimmers will help lead games and participate in demonstrations.
  2. RUHS pool schedule may shift in mid-June when the school year ends.
  3. We have extra time for semi-privates with Mary on Monday at RUHS.
  4. John is going to inquire about scheduling changes for summer at Begg Pool.
  5. John thinks weekly ocean swim workouts will begin in mid-June on either Wednesdays or Fridays (depending on our summer schedule at Begg Pool).
  6. John is going to check out the Surfside supply shed at the Mira Costa pool to see what should be kept or thrown away.
  1. Coaching
  1. Behavioral Policy
  • The board reviewed policy examples sent from Jered.
  • The new policy will be available for the board to approve and finalize at our next meeting.
  • Ramya and Jered are going to include information on volunteer expectations going forward. If a child is signed up for a meet, the parent needs to be prepared to volunteer at the event.
  • Parents of new members will need to sign the new behavioral policy as part of the onboarding process for their children. Parents of existing members will also need to sign that they understand the new policy.
  1. John will follow up with the coaches regarding any certifications that need to be renewed. There has been some good progress since our last meeting, but we are not at 100% yet.
  2. Lelei will lead dryland workouts on Tuesday and Thursdays before the swimmers get in the pool. Rich will confirm that our insurance policy covers workouts outside the pool (and ocean).
  1. Swim Meets
  1. There are two remaining SCSL spring season meets:
  • May 17, 2025
  • Champs – June 21-22, 2025
  1. Twenty-five Surfside swimmers have signed up for tomorrow’s meet. Jered & Ramya are still working to get enough volunteers to fulfill Surfside’s commitment. John and Lelei will be onsite to coach.
  2. Kayo has ordered 50 bright pink caps with the Surfside logo and “Champs” printed in white for the swimmers to wear at Champs in June.
  1. Membership
  1. Kayo has scheduled tryouts for C swimmers for the past few weeks. There are a few more this week. That will be the end of tryouts until fall.
  2. The board will be sending an email soon to all members informing them that Surfside will increase its membership dues by $25 per quarter beginning in July 2025. This is less than a 10% increase, but it is necessary to meet our increased expenses.
  3. Eileen will follow up with John to set a date for our annual summer beach party.
  4. Elisa reported that two applications have been received for this year’s Cindy Tournat Scholarship Fund. Elisa will forward the applications to the board soon. The awards will be given at the summer beach party.
  1. Marketing
    1. Yvonne reviewed the marketing survey results sent to the board and coaches.
    2. Yvonne shared her proposed changes to update the Surfside website. We want to improve our communication with prospective members as well as provide timely information for our current Surfside families. She will also be taking over the weekly emails and social networking accounts.
    3. Yvonne discussed ways to increase team visibility and marketing, including car magnets and water bottle stickers. She also thinks it’s time to prepare a new survey for our members.
    4. Yvonne and Rich will work together to determine how much money is needed and available for our marketing needs.
  1. Financials
  1. Rich provided the board with the financial update as of April 30, 2025.
  2. Surfside has been over budget in pool rentals and coach payments, but under budget meet dues. Surfside is currently in good financial standing.
